That's a loaded question for many and can feel really overwhelming to nail down.

Let's discuss the differences between an Office Manager, a Director Of Operations, and a Chief Operating Officer.

Office Managers are not part of the executive team but they are the first management hire. Their contributions are focused on their experience, knowledge expertise, and management skills but they still have a hand in implementation. They are your closest link to your front-line team members.

The Director Of Operations is the first executive team member hired for small organizations. (the name is interchangeable when you are looking at a large-scale organization such as a DSO but a DOO in that scope is not a right hand to the CEO and typically reports to a VP of Operations or COO.) The Era Of The Super-Manager Is Over

I was working with an office manager this past summer and her journey was interesting, to say the least. She actually was a hygienist that took a step down in pay to step into the Office Manager role at the practice she was with. She didn’t have any formal training in the operations of the practice, patient flow (prior and following clinical care) but she was stepping up to bat and willing to change her career path for the practice. Her distinctive attributes could easily fit into the role of Office Manager but the more time I spent with her, learning the dynamic between her and the provider, and the way she approached the role, I watched a Super Manager unfold. In fairness, not everyone is readily willing to step down in pay to take another position within an organization, so that spoke volumes for the owner. But, the outdated structure in private practices feeds this Super-Manager mentality.

Can you believe it’s almost October? I’m so happy that fall is settling in! Utah is absolutely gorgeous this time of year so I have to say it is my favorite. What Does The Transition Period From Office Manager To Director Of Operations Looks Like?

One of the questions I get, especially from the Practitioner is, what does the transition look like?  I’m so glad this question comes up because it brings a deeper recognition that the transition period from Office Manager to Director Of Operations  needs more than an application of “onboarding.”

It needs to be integrated throughout the transition process.

I’ve broken it down into 5 critical milestones that must happen to really integrate this new role into the practice and help the transition be more successful and profitable!

Dr. Finden: Shortly after I graduated from chiropractic school, I found myself in an associate position right out of school, and I thought that was going to be a great stepping stone to someday owning my own practice. It turned out to be a much shorter path to owning my own practice than I thought it would be, and I wound up starting a practice just a couple of months after I took an associate position that wound up, just not being a good fit for all parties involved.

I started my own practice by sharing space with another chiropractor and I would do practice relief, which is sort of like being a substitute teacher. What Is A Director Of Operations?

 

So obviously I’m passionate about operations and keeping independent practices strong - but why am I honed on this specific key position for CEO Doctors? Well, because in short, the Director Of Operations is the other half to the CEO. They are professionals who handle the back end of the business so that you, as the practitioner, can continue to hold the vision and provide patient care.

Director Of Operations is not the same as an Office Manager or Practice Manager - yes those roles do participate in the back-office needs, but these roles are heavy in implementation pieces of the practice and don’t handle the entirety of the operations themselves.
